Setting up company information and user roles

In this guide, you'll learn how to set up your company's basic information and configure user roles within the FareHarbor Desk platform. These settings ensure that your vouchers display the correct company details and that team members have appropriate permissions based on their roles.

Accessing the Settings Menu

  1. After logging into the FareHarbor Desk platform, locate the Settings option in the top navigation bar.
  2. Click on Settings to open the configuration menu where you’ll manage your company details, user roles, and other system settings.

Setting Up Company Information

  1. In the Settings menu, select Company Information.
  2. Enter the following details:
    • Company Name: This should be your official business name.
    • Address: Include the full address that will appear on client vouchers.
    • Disclaimer: You can copy and paste any legal or policy disclaimers from the old system (if applicable). The disclaimer appears on all printed vouchers.
      • Tip: The disclaimer can include important information such as your cancellation policy, refund terms, or service terms.
  3. Once you’ve entered the necessary details, click Save.

Enabling 2-step verification

2-step verification (2SV) is a multi-factor authentication process that enhances security by confirming a user’s identity before granting Dashboard access. By enabling 2SV, you add an extra layer of protection, helping to prevent unauthorized access and safeguard your business data, customer information, and financial transactions. Each user can enable 2-step verification on their profile. To enable 2SV, you must have a phone number associated with your user profile.

To set up 2-step verification:

  1. Click your name in the top right corner of your FareHarbor Desk Dashboard and select Profile from the dropdown.
  2. Under User Information, click Edit next to the Phone field to add your phone number.
  3. In the phone number overlay, select your phone’s country code from the flag dropdown on the left.  
  4. Fill in your phone number.
  5. Click Request code to confirm your phone number.
  6. After you receive the verification code via SMS, input the code in the overlay.
  7. Once your phone number is confirmed, navigate to Two-step verification.
  8. Click Enable 2-step verification.

Once you have enabled 2-step verification, you will be prompted to enter a 6-digit verification code each time you log in.

Troubleshooting

After you request your verification code, it may take up to a minute to receive. If after a minute, you still haven’t received your code:

  1. Verify that your phone number is correct.
  2. Ensure that your WiFi or mobile data is active.
  3. On Android, check your spam or blocked messages.

Lastly, if these steps do not resolve the issue, contact your manager to disable 2-step verification on your account. If you need more help, contact our FareHarbor Desk support team.

Configuring Service Charge Rates

  1. Still in the Settings section, scroll down to locate the Service Charge Rate field.
  2. Set your default service charge percentage that will apply to all transactions.
    • This charge can be modified on a per-transaction basis, but setting a default ensures consistency.
    • Example: If you charge a 5% service fee for all bookings, enter "5%" in this field.
  3. Click Save to apply the service charge to future bookings.

Managing User Roles

  1. In the Settings menu, click on Users.
  2. You will see a list of existing users and their roles. To add or update users:
    • Click Add User to create a new account.
    • Enter the user's name, email, and assign a role based on their responsibilities.
  3. There are three main roles to choose from:
    • Director: Full access to all system features and settings. Suitable for managers or administrators.
    • Administrator: Has access to most features but limited access to management and settings. Ideal for supervisors.
    • Concierge: Restricted access. Can only view certain reports and handle client interactions. Best for front-line staff who do not need administrative privileges.
  4. After assigning the appropriate role, click Save.

Archiving users

Effectively manage user access with the archive functionality in Desk’s users settings. Archiving a user invalidates their login credentials and removes their access to the desk. 

To archive a user:

  1. Click Settings in your FareHarbor Desk navigation.
  2. Select Users from the Settings dropdown.
  3. In the Users directory, click under Actions and click Archive 
    OR click into an individual user’s profile and click Archive User at the bottom of the profile.
  4. Click Archive to confirm.

 
Archived users will appear in the user directory with an Archived tag next to their name. 

Filter the user directory to display only archived users by clicking the Status dropdown and checking the Archived box. 

Archived user profiles cannot be updated. Restore user access at any time by clicking Unarchive User on the archived user’s profile.

Verifying Bank and Payment Information

  1. The FareHarbor Desk platform integrates with Stripe for payment processing.
  2. To enable payments, navigate to the Bank and Payment section under Settings.
  3. Start the Stripe verification process by entering your company’s banking details and company information. Stripe requires about 30 minutes to complete the verification process.
  4. Once verified, Stripe will be integrated with Desk, allowing you to process payments securely.

Tip: Use the Stripe integration to reduce liability and benefit from PCI-certified security.

Frequently asked questions

Can I assign multiple roles to one user?

No, each user can only have one assigned role. However, you can modify a user’s role at any time if their responsibilities change.

What if I need to delete a user?

The system does not currently allow for deleting users. You can deactivate them instead, which removes their access to the platform.

How do I update the disclaimer on my vouchers?

You can update the disclaimer in the Company Information section under Settings. Changes will automatically reflect on all new vouchers.
