This guide will show you how to update and manage product rates within the FareHarbor Desk platform. Rates are essential for defining how much clients will pay for specific products and services, including applying taxes and fees.

Accessing the product rate settings

  1. After logging into the FareHarbor Desk platform, navigate to the Manage menu.
  2. In the Manage section, select Vendors.
  3. From the list of vendors, click on the specific Vendor Name whose product rates you need to update.

Viewing and updating product rates

  1. On the vendor’s page, select the Products tab to see the list of services or activities offered by that vendor.
  2. Click on the Product Name you wish to update. This will take you to the detailed view of the product, where you can update its associated rates.
  3. In the product details, locate the View Customer Types button, which will display the customer types (e.g., adult, child, senior) associated with the product.
    • Select the Customer Type you want to update (e.g., Adult) and click View Rates.

Adding a new rate

  1. To add a new rate, click Add New Rate in the Rates section for the selected customer type.
  2. Fill in the following details:
    • Effective Booking Date: The date a voucher is created. If a rate change takes effect on a booking date of January 1, 2025, any voucher created on or after this date will use the new pricing.
    • Effective Activity Date: The date the activity occurs. If a rate change takes effect on an activity date of January 1, 2025, all vouchers for activities on or after this date will use the new rates, regardless of when the voucher was created.
    • Rate Amount: Enter the updated rate (e.g., $200 for an adult).
    • Commission: If applicable, enter the percentage or fixed commission amount that will be applied for agents.

      Example using Effective Booking Date and Effective Activity Date:
      If a rate change applies to bookings made on or after December 1, 2024, and activities on or after January 1, 2025:
      • A voucher booked in November 2024, for an activity on January 1, 2025, will not use the new rates.
      • A voucher booked in December 2024, for the same activity date, will use the new rates.
  3. Click Save to apply the new rate.
    Tip: Ensure that the effective dates are correct, as the system will not allow overlapping rates with the same effective date range.

Adding taxes and fees

  1. In the Rates section, you can also add or update taxes and fees associated with a product.
  2. Click Add Tax/Fees to enter any additional charges that need to be applied.
    • Variable Tax: Enter a percentage if the tax is a percentage of the rate (e.g., 4.712% for sales tax).
    • Fixed Tax: Enter a fixed amount if the tax or fee does not vary with the rate (e.g., a $10 environmental fee).
  3. For each tax or fee, you can specify whether it is commissionable or non-commissionable, depending on whether the commission is calculated before or after the tax.
  4. Once you’ve entered all the necessary taxes and fees, click Save to finalize the rate update.
    Tip: Taxes and fees can include local sales tax, environmental fees, or processing fees, depending on the product and location.

Updating Existing Rates

Desk does not allow deleting or editing previously saved rates. However, you can set new effective dates to override previous rates.

To update an existing rate:

  1. Go to the Rates section under the product’s customer type
  2. Create a new rate for the same dates as you would like to change.

Managing multiple rates for the same product

  1. In cases where a product may have different rates based on the season, customer type, or other factors, you can add multiple rates for the same product.
  2. Ensure that the Effective Booking Date and Effective Activity Date do not overlap between different rates for the same product.
    • Example: You may have one rate for peak season and another for off-season, with each rate covering a different date range.
  3. When multiple rates exist for the same product, the system will automatically apply the correct rate based on the booking or activity date.
