Affiliates are third-party organizations that refer business and earn a commission for doing so. Common affiliates include travel agencies or real estate companies. This help page provides information on enabling and managing affiliates, affiliate agents, and affiliate groups, as well as finding data on affiliates in your FareHarbor Desk reports.
Enabling affiliate creation
To enable affiliate creation on your FareHarbor Desk Dashboard:
- Click Settings in your FareHarbor Desk navigation.
- Select Company Settings from the dropdown.
- In your Company settings, click the General settings tab.
- Check the Allow affiliate creation box.
- Click Save.
Managing affiliates
Once you’ve enabled affiliate creation on your Dashboard, a new Affiliates view will be accessible by clicking Manage in the navigation and selecting Affiliates from the dropdown.
Use the Affiliates section to manage your affiliate information and add new affiliates as needed.
Adding new affiliates
In the Affiliates view in your FareHarbor Desk Dashboard, click the + Add new affiliate button to create a new affiliate. Fill in the fields under Create Affiliate and, once complete, click Create. New affiliates will be automatically added to the Affiliates view in your Dashboard.
Affiliate agents
To accurately credit affiliate agents and ensure correct reporting on affiliate sales, you can add affiliate agents to your FareHarbor Desk Dashboard.
Assign affiliate agents to vouchers, attribute an affiliate agent to a booking, and include affiliate agent data in your reporting.
Enabling affiliate agent management
Before an affiliate agent can be created and assigned to vouchers, you must first enable the affiliate agent management setting in your Company Settings.
To enable affiliate agent management:
- Click Settings in your FareHarbor Desk navigation.
- Select Company Settings from the dropdown.
- In your Company Settings, click the General settings tab.
- Check the Allow affiliate agent management box.
- Click Save.
Creating affiliate agents
Once you’ve enabled the affiliate agent management setting for your company, you can add new agents to existing affiliates.
To add a new affiliate agent:
- Click Manage from the FareHarbor Desk navigation.
- Select Affiliates from the dropdown.
- In the Affiliates table, click the … icon next to an existing affiliate and click Edit.
- In the settings for the affiliate, select the Agents tab.
- Click the + Add new agent button to add a new affiliate agent.
In the Create affiliate agent overlay, fill in the First name, Last name, and Email address fields and click Create.
Assigning bookings and vouchers to affiliates and agents
Once you’ve created affiliates and affiliate agents in your FareHarbor Desk Dashboard, they can be associated with specific bookings and vouchers.
When you create a booking, define the affiliate associated with that booking by selecting the affiliate from the Assign to affiliate dropdown. This can be assigned on a booking or client level. If an affiliate is assigned on the client level, it will be automatically added to all of the bookings for that client.
Once you’ve assigned the booking to an affiliate, an additional dropdown will appear prompting you to Assign to affiliate agent. Use this dropdown to either select an existing affiliate agent to assign to the booking or click the + icon to create a new affiliate agent to be assigned to the booking.
In addition to assigning bookings to affiliate and affiliate agents, they can also be attributed to specific vouchers using the same process:
In the voucher or client view, select an affiliate from the Assign to affiliate dropdown in the righthand corner and then select an affiliate agent from the Assign to affiliate agent dropdown or create a new affiliate agent for the voucher using the + icon.
Affiliate groups
Create an affiliate group to better organize affiliates.
To create a new affiliate group:
- Select Affiliates from the Management dropdown in your Desk navigation.
- Click the Groups tab.
- Click the + Add new group button.
- Enter the group name in the Name field.
- Click Create.
To add an affiliate to an affiliate group:
- Navigate back to the Affiliates tab.
- Click the … icon for a specific affiliate and click Edit from the dropdown.
- Under the Details tab, select a group from the Group dropdown or create a new group directly in the dropdown by clicking the + icon.
- Once you’ve assigned your affiliate to a group, click Save.
Reporting on affiliates and affiliate agents
Data on affiliates can be found in the Affiliate Commission Report. Access this report by clicking Reports in your FareHarbor Desk Dashboard navigation and clicking the Reports tab. Select Affiliate Commission Report from the collection of available reports.
In the Affiliate Commission Report, define the time period or duration and the date range type. Customize the report based on your needs by clicking the Customize button. Once you’re ready, either download the report CSV file or generate the report in the browser.
In the Affiliate Commission Report, you can find data on the commission amount, the voucher value, the issuance date of the voucher, and much more.
The affiliate agent name and email address appear as columns corresponding to assigned vouchers.
Additionally, you can filter by Affiliates or Affiliate Groups, when applicable, in the Customize options by selecting affiliates and affiliate groups from the corresponding dropdowns.
